Email Notifications
5Mins sends email notifications to keep learners and admins informed about courses, programs, live events, and account changes. This article lists the emails the platform sends so you know what to expect in your inbox.

Steps shown in this video
- 5Mins emails learners about enrolments, programs, events and their account. The automatic course emails live in Automations, on the Workflows tab.
- Course reminders go out automatically 7 days and 1 day before a course is due, at 10:00 in each learner's own timezone.
- Team Progress Email sends each manager a summary of their team's overdue courses and courses due in the next 30 days. It's off by default.
- Under Repeats every, choose Week, Fortnight or Month. Emails go out on Mondays at 9:00 AM UTC.
- Select Preview email template to see what managers receive.
- Team totals at the top: people, overdue courses and average progress. Then a row per person, most overdue first.
- Switch on Team Progress Email to start sending it. Managers whose team has nothing overdue or due soon won't get one.
By default these emails come from a 5Mins address: course and program emails from hello@5mins.ai (shown as "5Mins Team"), and most other emails from a no-reply address such as no-reply@5mins-updates.ai or no-reply@5mins.ai. If you'd like them to come from your own organisation's address instead, see the Replace Your Organization's Email Sender article.
π Course notifications
Course enrolment - sent to a learner when they're enrolled in a course, with a link to get started. The subject reads "[your organisation] assigned you a course", or "A new course in [program] is available" when the course is part of a program.
Multiple course enrolment - a single summary email when a learner is enrolled in several courses at once.
Course reminders - sent automatically 7 days and 1 day before an assigned course is due, at 10:00 in the learner's own timezone. Admins can change these in Automations on the Workflows tab, under Course reminders: turn reminders off altogether, pause either system reminder, or add up to 10 of your own (1-90 days before the due date) with a custom subject and message.
Overdue courses - a weekly email, sent on Tuesdays at 10:00 in the learner's own timezone, to learners who have at least one overdue course and have used 5Mins in the last 60 days. The subject reads "You have [number] overdue courses" and each course links straight back in. If access to a course closed at its due date, the email asks the learner to contact their admin instead. The email stops once the learner has caught up.
Send reminder - when an admin uses Send reminder on a course, learners get an email with the admin's own subject and message.
Course updated - lets an enrolled learner know that a course they're on has changed.
Course failed - sent to the learner when they don't pass a course quiz and retakes are allowed, with their score and a link to try again.
π― Learning program notifications
Program start - sent to a learner when their program starts, with the first course that's available.
Program completion - a congratulations email when a learner completes a program.
π Live event notifications
These relate to live Events (such as instructor-led sessions and webinars):
Meeting invite - sent to invitees with the event details and joining link.
Meeting reminder - a reminder ahead of an upcoming event.
Meeting updated - sent when an event's details change.
Meeting deleted - notifies invitees when an event is cancelled.
Session registration - confirms a learner's registration for a session.
Mark attendance - prompts the relevant person to record attendance for an event.
π₯ Manager notifications
Team Progress Email - a recurring summary sent to each manager whose direct reports have courses overdue or due in the next 30 days. It shows how many people are in the team, how many courses are overdue, and the team's average progress, then a row per person (most overdue first) with their profile photo or initials, their overdue and due-soon courses, when they last opened the app, and their average progress. Managers whose team has nothing overdue or due soon don't receive it.
The Team Progress Email is off by default. To turn it on, go to Automations in the admin area, open the Workflows tab, and switch on Team Progress Email. Under Repeats every, choose Week (every Monday), Fortnight (the 1st and 3rd Monday of the month), or Month (the 1st Monday of the month). Emails are sent at 9:00 AM UTC. Select Preview email template to see a sample of the layout.
π External training
External training expiry report - an admin report covering external training records that are expiring.
π Account notifications
Invitation - sent when an admin invites someone to 5Mins, with an Activate your account button. The subject reads "[the person who invited them, or your organisation] has invited you to 5Mins".
Invitation reminders - if the invite still hasn't been accepted, a few follow-up reminders are sent over the next 9 days or so.
Verify your email - sent when someone signs up with an email address and password, with a link to verify their address.
Password reset - sent when someone clicks Forgot your password? on the login screen.
Email address changed - when a user's email address is updated, a confirmation is sent to both the old and new addresses.
